Evaluation & beta terms

Terms version: 27 September 2026.

Individuals and businesses may apply. Participation is for adults aged 18 or over. UK participation is supported; overseas requests are considered individually and require written confirmation before access, after checking applicable service and legal requirements. No country is promised automatic acceptance. Consumer rights remain unaffected.

1. Provider and agreement

Gary Cowan operates AICowan, a UK-based independent business developing and selling Zentarra. In these terms, AICowan means Gary Cowan operating that business. All enquiries, support requests and complaints go to contact@aicowan.co.uk.

An enquiry or beta application is a request for access, not a purchase or a guarantee of admission. Before activation, both parties agree the programme, named users, dates, data source, support and any charges in writing. Someone acting for an organisation must have authority to accept on its behalf. The completed terms and access details must be accepted before activation; simply visiting this website does not create an evaluation contract.

2. Programmes and charges

The guided evaluation includes 30 days from activation, one dedicated workspace, up to five named users, one AICowan-controlled online data source and initial setup/onboarding. Connecting a customer's database is outside this offer.

The free beta provides a private demo workspace with synthetic data for exploration and feedback. It normally lasts 30 days from activation unless the invitation states another period. AICowan may agree an extension. The beta includes one named user by default. The invitation gives the exact activation and expiry dates, time zone and applicable usage limits; any additional users, extensions or limit changes require written agreement before they apply.

The beta is free and no payment details are required. Either party may end beta participation by written notice; no participation-fee refund is due because no fee is charged. This does not exclude other rights or remedies. A paid evaluation is individually quoted in GBP, including any applicable taxes in the total price. No payment is due until you accept the written order. The default payment deadline is 14 days after the invoice date, with activation after payment unless a later payment date is agreed. No automatic excess-usage or late-payment fees apply under these terms. Additional paid work requires a separate accepted quote. There is no automatic conversion to a paid subscription. Extensions or further services require a separate written agreement.

Cancellation and refunds

You may cancel by emailing contact@aicowan.co.uk with your name and order or invitation reference. For a paid evaluation, we offer a full refund if you cancel before activation or within 14 calendar days after the agreement is made, whichever gives you longer. This contractual promise applies to individuals and businesses, even if you requested an early start. We do not require you to waive statutory cancellation rights.

After that period, you may still end the evaluation. We refund the unused portion of the evaluation fee, calculated by the remaining days of the agreed access period, with no separate cancellation or setup deduction. If AICowan cancels, we refund unused access; if we cannot provide the agreed evaluation at all, we refund the full fee. These provisions do not limit any greater remedy for faulty or misdescribed services or digital content. Refunds are made within 14 days of cancellation using the original payment method unless you agree otherwise, without a refund fee.

For consumer orders, access normally starts after the 14-day cancellation period unless you expressly request an earlier start in writing. That request does not remove the full-refund promise above. You may use this wording, but do not have to: “To Gary Cowan trading as AICowan, contact@aicowan.co.uk (postal address on our Legal information page): I cancel my Zentarra evaluation, ordered on [date], reference [reference]. Name: [name]. Address: [address]. Date: [date].” A signature is needed only if you send this on paper.

Default beta usage limits

These are the implemented demonstration-policy defaults, not a guarantee that every workspace has identical settings. Your invitation and service configuration identify the limits for your access. Allowances do not guarantee that every optional feature is enabled.

• Query runs: 50 per user per day and 250 per workspace per day; up to five per minute per user.
• Refreshes: 25 per user per day and 100 per workspace per day.
• Exports: 25 per user per day and 100 per workspace per day.
• Up to 1,000 displayed rows or displayed-result CSV rows, and 20 dashboard widgets.
• Magic links expire after 30 minutes.
• No Admin Portal access, raw CSV or SQL export, or sharing of saved queries, dashboards or reports.
• Supported exports carry a watermark.

3. Acceptable use and security

• Use your assigned workspace only for the agreed activities and within its permissions.
• Keep sign-in links private. Do not share named-user access or attempt to access another workspace.
• Do not bypass controls, introduce malicious code, disrupt the service, perform unauthorised security tests or use it unlawfully.
• Do not upload or send customer records, sensitive personal information, database passwords or connection strings. These programmes use AICowan-controlled data.
• Report suspected security issues to contact@aicowan.co.uk without including secrets.

4. Early access, results and support

Zentarra is developing software. Features may change and errors or interruptions can occur. Review answers against the definitions, source information and checks provided. A trust score does not guarantee correctness; demonstration results are not production business advice.

Beta support is provided on a reasonable-efforts basis by email, with no guaranteed response or resolution time. AICowan is operated by one developer; round-the-clock support, guaranteed response times and an uptime service-level agreement are not included unless expressly agreed in writing. Describe the issue and expected result, removing confidential information from any screenshots.

AICowan will identify material changes affecting the agreed scope. Updating this website does not retrospectively change an accepted agreement.

5. Intellectual property and feedback

AICowan and its licensors retain rights in the software, branding and documentation. Access permits use for the agreed programme and period; it does not transfer ownership. You retain rights you already hold in your own material.

AICowan may use suggestions you provide to improve the product. Feedback does not grant permission to publish your name, organisation, logo or a testimonial; publicity requires separate permission.

6. Confidentiality and privacy

Each party must protect information marked confidential or reasonably understood to be confidential, and use it only for the agreed programme. Disclosure is limited to those who need it for that purpose and are bound by confidentiality obligations, or where required by law. Information already lawfully public, independently developed or lawfully received without restriction is excluded.

Personal information is addressed separately in the Zentarra application privacy information. Website enquiries and applications are covered by the separate website and enquiry privacy information. Confidentiality terms do not replace the completed notice or any data-processing agreement needed for a future service.

7. Expiry, exports and termination

The guided evaluation lasts 30 days from activation; beta dates are stated in the invitation. Access is disabled when the applicable period expires unless extended. Expiry does not automatically delete workspace material. Contents may remain stored pending support, review, extension or a separate permanent administrative deletion. Export permitted results before access expires. The post-expiry deletion schedule remains to be finalised. Read the export guidance and contact AICowan before expiry for help. Database backup copies can remain after primary deletion until their retention period expires; see Zentarra application privacy information. Other records may have separate retention requirements.

You may ask to end participation by email. AICowan may suspend access where reasonably necessary to address a security risk, unlawful activity or serious breach. Where practical, AICowan will explain the reason and allow an opportunity to resolve it. Fees and refunds on early termination are governed by the written commercial agreement and applicable law.

8. Responsibility and liability

Each party remains responsible for its obligations under the agreement and applicable law. Nothing excludes liability for fraud, fraudulent misrepresentation, death or personal injury caused by negligence, or liability that cannot lawfully be excluded. Any additional limitation must be expressly set out in the completed agreement; these terms do not impose a blanket exclusion or a financial cap. Services must be provided with reasonable care and skill, and applicable statutory rights and remedies for services and digital content remain available.

9. Complaints and disputes

Email contact@aicowan.co.uk with the relevant dates, the issue and your preferred resolution. AICowan will review the concern and discuss next steps. This does not limit statutory rights or the right to raise privacy concerns with the ICO.

This agreement and related non-contractual obligations are governed by the laws of England and Wales. For business participants, the courts of England and Wales have jurisdiction. Consumers retain the mandatory protections of the law of their place of habitual residence and may bring proceedings in any court available to them under applicable law, including their local courts where permitted. This clause does not restrict those protections or court rights.
